Operations Assistant

The Operations Assistant supports the day-to-day activities of vessel operations under supervision.
This role ensures smooth coordination among Masters, Owners, Agents, and internal teams,
maintaining accurate operational records and reports. The candidate will assist in voyage monitoring,
bunkering operations, documentation, and compliance with commercial and safety requirements.
By providing timely updates and support across departments, the Operations Assistant contributes
to the efficient and compliant execution of maritime operations.

As an Operations Assistant, you will play a key supporting role in the smooth execution of vessel operations. Working closely with the Operations team, you will assist in coordinating daily activities, maintaining accurate operational data, and ensuring compliance with company and contractual requirements.

Your role will contribute to efficient communication between vessels, stakeholders, and internal departments — helping to ensure safe, timely, and cost-effective operations across the fleet.

  • Assist in coordinating daily vessel operations under the supervision of the Operations team.
  • Liaise with Masters, Owners, Agents, and other stakeholders to ensure smooth vessel movements and operations.
  • Update and maintain records in corporate systems and databases.
  • Support the preparation and submission of daily and monthly operational reports.
  • Assist in ensuring compliance with cargo commercial contracts and operational procedures.
  • Coordinate with terminals and agencies for STS vetting, bunkering, and related marine services.
  • Monitor bunkering activities and support in reviewing bunker documentation and reports.
  • Work with internal teams such as Finance, Accounts, and Trading Support for documentation, invoicing, and payments.
  • Maintain proper filing and archival of operational documents.
  • Provide general administrative and operational support to the department as required.
  • Strong attention to detail and commitment to accuracy in documentation and reporting.
  • Proactive attitude with a willingness to learn and take initiative under guidance.
  • Effective communication and interpersonal skills to coordinate with multiple stakeholders.
  • Ability to work well in a fast-paced and dynamic operational environment.

  • Good analytical and problem-solving abilities.
  • Proficiency in Microsoft Office applications (Excel, Word, Outlook, PowerPoint).
  • Ability to work with operational databases and document management systems.
  • Organisational skills with the ability to prioritise and manage multiple tasks.
  • Attention to detail and accuracy in data entry and reporting.
  • Ability to work collaboratively in a team environment.
  • Basic understanding of maritime operations, logistics, or shipping processes (an advantage).
  • Adaptability and willingness to learn new systems and procedures.
  • Bachelor’s degree in Maritime Studies, Logistics, Supply Chain Management, or a related field.
  • 0–2 years of experience in shipping, vessel operations, or a related maritime/logistics role (fresh graduates are welcome to apply).
  • Basic understanding of marine operations, chartering, or cargo handling is an advantage.
  • Familiarity with shipping documentation and reporting processes preferred.
  • Proficiency in Microsoft Office applications and comfort working with database systems.
  • Strong command of written and spoken English.
  • Hands-on experience in vessel and maritime operations within an international business environment.
  • Exposure to end-to-end shipping and logistics processes, from planning to execution.
